SpaySecure ("we," "our," or "us") provides a platform for pet breeders to manage sterilization contracts with pet buyers. This Privacy Policy explains how we collect, use, and protect your information when you use our website and services.
1. Information We Collect
Account Information
When you create an account, we collect:
- Name and email address
- Password (stored securely using bcrypt hashing)
- Phone number
- Kennel/business name
- Business address
- Website URL (optional)
Business Information
During onboarding and account setup, we collect:
- Animal types you work with (dogs, cats)
- Breeds you work with
- Number of litters per year
- How you heard about us
- Whether you currently use spay/neuter contracts
Responsible Breeder Certification
If you apply for certification, we collect your answers to the application questions and the written details you provide with each answer.
Pet and Buyer Data
When using our services, you enter:
- Litter information (sire, dam, birth dates)
- Pet details (names, colors, microchip numbers)
- Buyer contact information (names, emails, addresses)
- Contract terms (sterilization deadlines, sale prices)
Buyer information you enter is handled as described in our Owner Privacy Policy, which governs our use of buyer data.
Payment Information
Payment details are collected and processed directly by Stripe, PayPal, or Venmo, depending on the payment method you choose. We do not store your full card numbers on our servers. We receive at most the last 4 digits and card brand for display purposes.
Automatically Collected
When you use our services, we automatically collect:
- IP address
- Browser type and device information
- Pages visited and features used
2. How We Use Your Information
- Provide services: Manage your account, process contracts, track compliance
- Process payments: Charge subscriptions and credit purchases
- Send notifications: Contract status updates, deadline reminders, account alerts
- Customer support: Respond to your questions and issues
- Improve services: Analyze usage to enhance features
- Legal compliance: Meet regulatory requirements
Automated Processing
We may use automated tools, including AI, to help our staff process submissions and communications. If you disagree with an outcome, contact us and we will review it again.
Call Recording
Telephone calls with SpaySecure may be monitored and recorded, and we keep records of calls and text messages, including transcriptions, for service administration and quality purposes. Where required by law, you will hear a recording notice at the start of the call.
De-identified Information
We may de-identify or aggregate information so that it can no longer reasonably be used to identify you, and we may use and retain de-identified or aggregated information for any lawful purpose, including analytics, research, and improving our services and automated systems. We do not attempt to re-identify de-identified information.
3. Information Sharing
We share information with:
Service Providers
We use third-party providers to operate our platform, including Stripe, PayPal, Venmo, Resend, Google Workspace, Twilio, Dialpad, PostGrid, Google Maps, Cloudflare, and Vercel.
Pet Buyers
When you send a contract, we share your kennel name and contact information with the buyer as part of the contract.
Legal Requirements
We may disclose information if required by law or to protect our rights.
4. Cookies
We use cookies for:
- Necessary: Authentication, session management, security, and remembering your cookie choices (always on, cannot be disabled)
- Functional: Google Maps and address autocomplete (optional; if declined, you can still enter addresses manually)
- Analytics: Google Analytics, to understand how the site is used (optional)
Functional and analytics cookies are optional. You can change these choices at any time on our Cookie Preferences page. Where required by law, we ask for your consent before setting them, and we honor Global Privacy Control browser signals as an opt-out of analytics.
5. Data Security
We protect your information with technical and organizational measures: traffic is encrypted in transit and data is encrypted at rest, passwords are hashed, access to production data is restricted to authorized staff and audit-logged, and payment card details are handled by our payment processors and never touch our servers. No method of transmission over the internet is 100% secure. While we protect your information, we cannot guarantee absolute security.
6. Data Retention
We retain your personal information for as long as needed to support ongoing contract compliance, provide historical records, and meet our legal and regulatory obligations. This includes contract documents, signatures, submission records, and communication history. Certification application records are retained with your account and deleted when your account is deleted.
If you close your account, you may request deletion of your data by contacting us. We may retain certain information as required by law.
7. Your Privacy Rights
Depending on your location, you may have certain rights regarding your personal information:
All users
- Access: You may ask us what personal information we hold about you
- Correction: Request correction of inaccurate information, or update it directly in your account settings
- Deletion: Request deletion of your information (subject to legal retention requirements)
California residents (CCPA)
California residents have additional rights:
- Right to know what personal information we collect and how it's used
- Right to correct inaccurate personal information
- Right to delete personal information (with certain exceptions)
- Right to opt-out of the sale of personal information (we do not sell your information)

Canadian residents (PIPEDA)
Canadian residents have rights under PIPEDA:
- Right to access your personal information
- Right to challenge the accuracy and completeness of your information
- Right to withdraw consent (subject to legal or contractual restrictions)

- Right to request correction of inaccurate information
- Right to complain to the Office of the Australian Information Commissioner (OAIC)

8. International Data Transfers
Your information may be transferred to and processed in the United States. By using our services, you consent to this transfer.
9. Age Requirement
SpaySecure is for users 18 and older. We do not knowingly collect information from anyone under 18.
10. Changes to This Policy
We may update this policy from time to time. For material changes, we will notify you by email or through the Service in advance of the changes taking effect, in addition to posting the updated policy on this page with a revised date. Your continued use of our services after changes become effective constitutes acceptance.
